Client programs that run themselves without feeling automated

Client onboarding automation is a system that runs your multi-week client program on its own schedule: sending the right content on the right day in each client's own timezone, collecting their check-ins through a portal with no password, attaching calendar invites to sessions, and showing you exactly where every client sits in the program. ManiWebDev builds these custom so the sequence follows your actual methodology rather than a generic drip template.

The work that happens between sessions

Most coaching and consulting value is delivered between sessions, and most of that delivery is manual. Sending the week two material. Remembering who is on week four. Chasing a check-in form. Rescheduling across timezones.

None of it is difficult. All of it is time, and it scales linearly with clients, which means your program quality quietly drops as your client count rises.

Generic email marketing tools do not fit, because a client program is not a broadcast. Each client is on their own day one, in their own timezone, with their own responses shaping what comes next.

What’s included

Per-client program timeline

Every client runs their own schedule from their own start date. Client A on day three and client B on day twenty are handled simultaneously without manual tracking.

Timezone-aware delivery

A Monday morning email arrives Monday morning where the client is, not where your server is.

Magic-link client portal

Clients click a link in their email and they are in. No account, no password, no reset requests. This single decision does more for completion rates than anything else.

Check-in forms that feed back in

Client responses are collected, stored, and visible to you before your next session with them.

Calendar invites that actually work

Sessions arrive with attachments that add straight into any calendar app, with the right timezone already set.

Admin visibility

One panel showing every active client, their position in the program, and their check-in history.

How the build works

  1. 01

We map your program week by week

What the client receives, when, and what you need back from them at each point.

  2. 02

We separate the automated from the human

Some touchpoints must stay personal. Identifying those early is what keeps the program feeling like a relationship rather than a funnel.

  3. 03

We build the scheduling engine and portal

Per-client timelines, timezone handling, and the check-in flow.

  4. 04

We run a full cycle before going live

A compressed test run of the entire program catches sequencing errors that only appear at week four.

Technical decisions that matter

Always-on server, not serverless

Scheduled sequences and cron work are a poor fit for serverless functions. A small always-on server handles recurring jobs reliably and removes an entire layer of complexity that buys nothing.

Timezones handled at the client record

Each client's timezone is stored and applied at send time rather than being calculated globally. This is the detail that most implementations get wrong.

Idempotent sends

A server restart or a retry does not send a client the same email twice. Duplicate sends destroy trust in an automated program faster than anything else.

Common questions

What is client onboarding automation?

It is a system that delivers your structured client program automatically: scheduled content, check-in collection, calendar invites and progress tracking, all running per client from their own start date. It replaces the manual work of remembering who needs what and when.

How is this different from Mailchimp or ConvertKit sequences?

Email marketing tools broadcast to lists and handle simple drips. They do not run a per-client program timeline with timezone-aware delivery, collect structured check-in responses tied to a client record, attach calendar invites, or give you an admin view of where each client sits. A client program is not a newsletter.

Will clients feel like they are being automated at?

Only if it is built badly. The parts that should be personal stay personal, and identifying which those are is part of the build. Done well, clients experience a program that is consistently on time rather than one that feels machine-generated.

Why magic links instead of a client login?

Because busy professionals will not create an account to fill in a check-in form. They click a link in their email and they are in. Every password you require is a point where someone quietly stops participating.

What happens if a client falls behind or pauses?

Program timelines are per client, so pausing, restarting or extending is a change to one record rather than a manual rebuild of their schedule.

Can this connect to an assessment platform?

Yes, and that is the strongest configuration. The assessment identifies where a client is, and the program automation delivers the response to it. They are commonly built as phases of the same system.
